Different Editions of Microsoft Office 2016

Microsoft Office 2016 contains a lot of apps. These are namely Word, Excel, PowerPoint, Access, Outlook, Publisher, OneDrive, OneNote, and Skype for Business. However, all these apps aren’t used by everyone. A student or a Home user does not require Publisher or Access. Therefore, it is unwise for people to pay for them. Microsoft Office, therefore, released 5 different editions of Office 2016. These editions are:

  1. Home & Student: This is the most basic edition of Office 2016. As the name suggests this was released for students and home users. It consists of only Word, Excel, PowerPoint, and OneNote.
  2. Home and Business: This was meant for home users and small businesses. Apart from the basic apps of Home & Student it also has Outlook.
  3. Standard: In addition to the basic apps (Word, Excel, PowerPoint and OneNote) it also contains Outlook and Publisher.
  4. Professional: This edition has almost all the apps of the Office suite. In addition to the Standard pack, it also has Access.
  5. Professional Plus: The final and the ultimate edition of Office 2016 contains all the apps including Skype for Business.

What is new in Microsoft Office 2016 Professional Plus?

Office 2016 has made pretty interesting updates to its popular array of apps. With a new and cleaner interface working on these apps is now easier. Excel has also received some major updates. A peculiar thing about Office 2016 is that is has continued to add updates weeks after its release and these updates have really made a difference. With its decision to go cross-platform Office released a lot of different editions. For every standard edition described above, there is an identical edition for Mac. Plus, there are the subscription-based editions of Office 365. In this section, we are going to focus on some major changes that can be noticed while using the new Office 2016 Professional Plus.

1. Interface

Office 2016 comes with its new fresh look and cleaner interface. It still has the iconic ribbon interface but with some major changes. Office 2016 has dedicated a single shade of solid color for each app of the Office suite. The entire ribbon has been painted with the same color. It gives the interface a minimalistic look. The toolbar is also a little bigger. The ‘Metro’ design which was a trademark of Windows 8 has almost disappeared and replaced with the well-received style of Windows 10. The new interface is easier to use especially on touch screen devices. This is due to the larger and sufficiently spaced tabs on the ribbon.

2. Dealing with files

When it comes to handling files, Office 2016 has made it a tad bit easier. This is due to the improved File menu. It is much more informative and useful. When you go to the File menu and click on the Info tab you can see all the important information like size, time of creation, location, etc. Another interesting feature about the File menu is the Recent section. It contains a list of recently edited apps and it shows information like last opened, location of the file, etc. This is particularly useful when you are accessing your documents from multiple devices. If they are stored on One Drive then you can simply tap and open the file and continue working on it. There are certain features that disappeared with subsequent updates and then came back because of the negative feedback of the users. One such change was the removal of recent folders from the save pane that increased the time taken to save a document.

3. Ease of sharing

Office 2016 makes sharing documents even easier and this is due to the presence of the dedicated share tab in the File menu. You can directly send a link to your file over mail or Skype for Business. You can also keep a track of people having access to your document. As long as the file is saved on One Drive, it can be accessed and edited by people that you have shared the link with. You can see in real-time when others are making changes to your document. They can leave comments which are visible for others to see. The changes made by them are visible in the Activity pane. Co-editing is currently available only on Word and PowerPoint. However, a similar update can be expected for Excel as well in the near future.

4. Data security

Since you are sharing your documents with others, it is important that there is some level of data privacy. You wouldn’t want unauthorized access and edits to your important documents. Therefore, in Office 2016 you can choose the amount of access authorization that the other person receives. You can prevent your document from being further shared, copied, edited or printed. You can even set an expiry date for the viewership and access to a file. Office 2016 extends the Outlook Data Loss Prevention features into Word, Excel, and PowerPoint. You will be getting notifications on Outlook when someone tries to make an unauthorized forward of your document and also alerts about any illegal activity on your file.

Review of Important Apps of Microsoft Office 2016 Professional Plus

Let us now look at some of the important apps of the Office 2016 Professional Plus that have seen some major noteworthy updates.

1. Word

Office 2016 has been releasing continuous updates for all its apps and this includes Word. SVG images can now be inserted and edited in Word 2016. You can use Smart Lookup to find information about a word in your document. It searches the web for information about the word that you searched. There is a new feature called the Editor. It greatly improves the spelling and grammar check. It also provides suggestions regarding the grammatical mistake and tells you what is wrong with your phrase. If you have a touch screen device then you will really enjoy this new feature called the Ink Editor. All the scribbles and lines that you draw on Word using either a pen or touch will get converted into neat shapes like squares and circles. You can draw a line across a word and it will get deleted. In order to select a word or line, you can simply draw a circle around it using your hand or pen. You can also switch to your highlighter and make use of the same feature to convert to rough strokes to neat and clean highlights. This makes Word fun to use, especially on mobile devices, tablets, and touch screen devices.

2. PowerPoint

PowerPoint too has been loaded with the advanced search tool, Smart Lookup. You can also use the Ink Editor if you are using a touch screen device. There is a new tool called the Designer tool that makes suggestions regarding layouts for slides with images and smart art. You can also find a digital ruler that is very useful for drawing lines on a touch screen device. Making summary slides is also very easy now due to the Zoom tool. You can make your presentations more interesting with the help of the new Ink Replay. It helps you make diagrams and make notes. You can also record your slideshow with a background voiceover. If you have certain text or images that need to be present on two successive slides, you can use the Morph transition. With added animations and new transitions, you can make your presentations more interesting. Office 2016 has also added the much-needed highlighter tool.

3. Outlook

Adding an attachment is now even easier. When you click on the attach button the list of recent apps pops up and you can simply tap on the file that you would like to attach. If you are attaching an image then Outlook shows thumbnails for it. This ensures that you do not send the wrong file. There’s a new action bar that allows you to quickly access some useful functions while composing an email. You can also limit the amount of email that you are saving in your inbox. You can choose to save as little as three days of mail to save space. There’s the option to add people directly by using the ‘@’ symbol. This is similar to how people have conversations on popular chatting apps. Outlook 2016 is also capable to scan through your mail and add reminders on your calendar regarding upcoming trips and package delivery.

4. Excel

Apart from the new interface Excel is loaded with a lot of new updates. There are a lot of new charts like treemaps, sunbursts, funnel charts, and waterfalls. The new forecasting options helps you to make non-linear forecasts and also multiple forecasts. Excel makes the best use of business intelligence and data analytics functions. There is a new Power Query tool that makes importing data easier. The power map has now become 3D map. The pivot table has now become integrated instead of being a separate tool. Excel 2016 is smarter and does a lot of work automatically by establishing a relationship between multiple tables.

5. Other Apps

All the other apps did not receive a lot of major updates apart from the new interface. One Note just changed the Send To tool from a mini toolbar to an icon. The publisher just gets a couple of new themes and nothing else. Access has seen improvements to its existing features. You can export data from Excel using the Linked Table Manager. The size of the Show Table dialog box is larger.
